GoSweetSpot Integration

Connect NexWave to GoSweetSpot to send submitted sales orders for despatch and show shipment tracking links on the order. You can also check shipping options and copy an estimated customer charge before you choose how to charge for delivery.

What the connector does

Action

Result

Submit a Sales Order in NexWave

Sends its initial delivery address, product details, quantities and delivery instructions to the GoSweetSpot order queue.

Create a shipment in GoSweetSpot

NexWave retrieves the matching consignment and tracking link.

Open GoSweetSpot > Shipping Rates

Checks available services for the saved delivery address and the packages you enter.

Click Copy charge

Copies the numeric customer charge for use elsewhere. It does not change the order.

Keep the Sales Order → Delivery Note → Sales Invoice process in NexWave. Select the courier, pack the order, print labels and book collections in GoSweetSpot. Later order changes, cancellations, delivery notes and invoices are not sent to GoSweetSpot.

Product descriptions and quantities travel with each order. You do not need to create matching product records in GoSweetSpot first.

Before you start

Ask your NexWave administrator to install the connector and confirm that background workers and scheduled tasks are running. You need a GoSweetSpot account with an API integration, its site ID and access key. Use actual sandbox credentials for testing. Selecting Sandbox in NexWave does not turn a production GoSweetSpot account into a test account.

An administrator with the System Manager role configures the connection. Sales and stock users need permission to read the order and delivery address. They can use the configured account without access to its API key.

The examples use fictional customer and product details. Screenshot charges are examples, not a current price list.

Set up the account

  1. Use the search bar to open GoSweetSpot Account, then add an account.

  2. Select your Company and Environment.

  3. Enter GoSweetSpot Site ID and API Access Key from your GoSweetSpot API integration.

  4. Enter a short Order Reference Prefix. Use a different prefix for each NexWave site that shares a GoSweetSpot account.

  5. Leave Send GoSweetSpot Tracking Emails unticked unless you want the order contact email sent to GoSweetSpot.

  6. Tick Enabled, save, then click Test Connection.

Unsaved account setup example with a fictional site ID and no API key

Unsaved account setup example with a fictional site ID and no API key

This is an unsaved setup example for the NexWave company. Enter your own site ID and access key, then enable and save the account before you test the connection. The operational screenshots use the existing GoSweetSpot Demo company and GoSweetSpot Sandbox account.

Only one account can be enabled for each company. Once enabled, it applies to all sales orders submitted for that company. Orders that were submitted before the connector was enabled are not exported automatically.

A production connection also needs your administrator to enable production access for the NexWave site. A copied site needs a new GoSweetSpot Account configured for that NexWave site, with a distinct Order Reference Prefix. The existing account's site binding cannot be changed.

Prepare the delivery address

On the Sales Order, open Address & Contact and select the correct Shipping Address Name. Check the address record before you submit the order.

Address field

What to enter

Address Line 1

Street number and street name.

Address Line 2

Unit, floor or building details, when needed.

Shipping Suburb

Suburb, when needed. Keep it separate from unit or building details.

City/Town

Delivery city or town.

Postal Code

Delivery postcode.

Country

Delivery country.

Shipping address with Penrose entered as Shipping Suburb

The connector uses the separate Shipping Suburb field. It does not automatically treat Address Line 2 as a suburb. Check addresses imported from another system as well as addresses entered by staff.

Send a sales order

1. Prepare and save the order

Add the customer, delivery date, products and quantities. Select the delivery address. In the GoSweetSpot section, enter any Delivery Instructions.

Order items, quantities, prices and Total Net Weight

The example order contains four Coastal Daypack 20L units and eight Stainless Steel Bottle 750 ml units, with a known goods weight of 5.4 kg.

The enabled company account is selected automatically when you submit the order. You can select GoSweetSpot Account before submission when needed. There is no per-order switch to opt out of export for an enabled company.

2. Submit and check the result

Click Submit and confirm the submission. Export starts in the background after NexWave saves the submitted order. Reload the form after the background job finishes and check Export Status in the GoSweetSpot section.

Export Status

Meaning and next action

Pending

The export is waiting for background processing.

Exported

The order exists in the GoSweetSpot order queue. Staff can prepare its shipment there.

Failed

Check Last Error, correct the issue, then use GoSweetSpot > Retry Export.

Needs Review

Check Last Error and the existing GoSweetSpot order with your administrator before retrying. The original request may already have created the order.

GoSweetSpot section after successful order export, before shipment creation

Check Export Status, GoSweetSpot Order Reference and Exported At. No tracking has been retrieved yet in this newly exported example.

Exported does not mean that a courier has collected the order or that tracking is already available. An export failure does not cancel or reverse the NexWave sales order.

The connector keeps the initial submission details for retries. Later edits do not update the GoSweetSpot order. If the original details could not be captured, Retry Export asks you to confirm before it takes a new copy from the corrected order.

Manual orders and imported orders follow this same submission process in NexWave. For example, an order imported from Shopify is sent only when the resulting NexWave sales order is submitted. This connector does not require Shopify or Field Service.

Check tracking

  1. Prepare the shipment in GoSweetSpot. Keep the delivery and packing-slip references created by the connector so that the shipment can be matched to the order.

  2. Return to the NexWave sales order and open its GoSweetSpot section.

  3. Check Tracking Links. Each consignment has its own Consignment Number and Tracking Link. One order can have several links when it has several consignments.

  4. To request a check now, use GoSweetSpot > Refresh Tracking. This queues a background job. Reload the form after it finishes.

This separate sandbox shipment shows the result after a consignment has been created. A newly exported order has no tracking link until that step is complete.

Automatic tracking checks run every ten minutes when the scheduler is active. A submitted order can remain without tracking until a shipment exists in GoSweetSpot. Last Tracking Sync shows when the last successful tracking check completed.

Check shipping options and charges

You can use the shipping-rate helper on a saved draft or submitted order. Save any changes to the order or shipping address first.

1. Open the helper

Click GoSweetSpot > Shipping Rates. Check Delivery Address and the item-weight note.

Shipping Rates action on the Sales Order

Shipping Rates action on the Sales Order

NexWave estimates the goods weight from the order lines, with Item weights as a fallback. It converts supported units to kilograms. It does not fill package dimensions from Items. If any weight is missing or unsupported, enter the complete packed weight yourself.

2. Enter the packages

In Packages, enter the dimensions in centimetres and the packed weight in kilograms, including packaging.

Field

Meaning

Count

Number of identical packages with these dimensions and this weight.

Length (cm), Width (cm), Height (cm)

Outer dimensions of one package. Decimal values round up to whole centimetres for the enquiry.

Packed weight (kg)

Weight of one package, including packaging.

Package Type

Select Box, Carton, Satchel, Bag or Pallet.

Signature Required

Request services with a signature requirement.

Saturday Delivery

Request Saturday delivery options.

Contains Dangerous Goods

Declare dangerous goods when applicable.

Use Add Row for packages with different sizes or weights. Count repeats the weight as well as the dimensions. Do not enter the whole order weight on every row unless that is the weight of each package.

One carton, 45 by 35 by 30 centimetres, with a packed weight of 6 kilograms

The example uses one carton with a packed weight of 6 kg, including packaging. Count is 1.

GoSweetSpot uses the despatch address configured for the connected GoSweetSpot site. The destination comes from the saved sales order.

3. Fetch and copy a charge

Click Fetch. Compare Courier, Service, Charge and Delivery estimate, then click Copy charge beside the option you want to use. Only the numeric amount is copied.

Actual sandbox shipping service and charge with Copy charge

Actual sandbox shipping service and charge with Copy charge

The sandbox example returns an NZ Couriers service with a Charge of 17.82. Your results depend on the delivery address, package details and GoSweetSpot account.

The results show GoSweetSpot's customer Charge. Your GoSweetSpot API integration must permit customer-charge visibility. If GoSweetSpot returns a service without a charge, Charge shows Not available and Copy charge is disabled. The helper does not substitute the carrier's cost or assume a zero charge.

Confirm the account currency and GST treatment before using an amount. Currency appears only when GoSweetSpot supplies it, and the rate response does not state its GST basis.

This is an enquiry only. It does not select a courier, book a shipment, save a quote, add an item or tax, or change the order total. Changing package details clears the previous result. Closing the dialog discards it.

Troubleshooting

What you see

What to check

The order has not exported

It must be submitted for a company with an enabled account. Existing submitted orders are not backfilled.

Pending does not change

Ask your administrator to check background workers and scheduled tasks.

Failed

Read Last Error, correct the reported issue, then use GoSweetSpot > Retry Export.

Needs Review

Ask your administrator to check the existing GoSweetSpot order before retrying. The original request may already have created it.

No tracking link

Create the shipment in GoSweetSpot and retain the connector's references. Request Refresh Tracking, then reload after the job finishes.

Shipping Rates cannot use the latest edits

Save the order, close the helper, then reopen it.

Services appear without charges

Ask your GoSweetSpot administrator to check customer-charge visibility for the API integration.

No shipping options appear

Check the delivery address, package details and requested options. Review any provider messages and Unavailable services.

A copied site cannot connect

Ask your administrator to create a new GoSweetSpot Account for that NexWave site, with a distinct Order Reference Prefix.
