Move Stock Between Warehouse Bins
Use Bin Transfer when stock is already in the correct warehouse but needs to move from one physical bin to another. Common examples include refilling a picking bin, reorganising storage, correcting a physical location, and moving released stock into its normal location.
A Bin Transfer changes bin balances without changing the warehouse total. NexWave creates the required stock movement when you submit the transfer.
Choose the correct workflow
Use the stock's current location and destination to choose the workflow:
Job | Workflow |
|---|---|
Move stock between enabled Storage or Picking bins in one warehouse | Bin Transfer |
Put stock away from Unallocated, Receiving, or Inbound Staging | The appropriate Putaway action |
Move stock to a different warehouse | Material Transfer |
Correct the total quantity on hand | The approved stock-count or stock-correction process |
Do not use an ordinary same-warehouse Material Transfer for a bin move. NexWave directs bin-managed stock to Bin Transfer so the physical movement and its reversal remain controlled from one document.
Before you start
Check that:
The Item has Use Bins ticked.
The Warehouse has Enable Bin Management ticked.
You have Stock User or Stock Manager access and permission to submit stock movements.
The source bin contains enough available stock after open Pick List allocations.
The source and target are different enabled Storage or Picking bins in the same Warehouse.
The physical item, quantity, batch, and serial numbers agree with NexWave before you move them.
Bin Transfer accepts quantities in the Item's Stock UOM. If the Stock UOM requires whole numbers, do not enter a fraction.
Start from the Item dashboard
Use this route for a quick move from a known bin:
Search for and open the Item.
Open the Dashboard tab.
Compare Stock Summary with Bin Stock.
In Bin Stock, select Move on the source-bin row.
Item Bin Stock section showing Move, Putaway, and View Balance actions
Review these values in Move Bin Stock:
Item
Source Warehouse
Source Bin
Available
Then select Target Bin and enter Quantity. For batch-controlled stock, select Batch before entering the quantity. For serial-controlled stock, select the serial numbers that were physically moved.
Select Create Bin Transfer. NexWave opens a draft Bin Transfer with the movement row filled in. Review the draft before saving and submitting it.
You can add more rows to the draft when every movement belongs to the same Warehouse.
Start from a Warehouse
Use this route when the warehouse team is preparing a movement:
Open the bin-managed Warehouse.
Under Bin Management, select Bin Transfer.
Review the new draft and complete the movement rows.
The Warehouse route fills the warehouse reference for you.
Create a multi-item Bin Transfer
Use the Bin Transfer list when one controlled movement contains several items or destination bins:
Search for Bin Transfer.
Select Add Bin Transfer.
Set Company and Warehouse first.
Review Posting Date and Posting Time.
Leave Movement Purpose as Bin Transfer for an ordinary move.
Enter a clear Reason.
Add the required Movement Rows.
For each row, complete:
Field | What to enter |
|---|---|
Item Code | The item being moved |
Qty (Stock UOM) | The physical quantity being moved |
Source Bin | The current Storage or Picking bin |
Target Bin | The destination Storage or Picking bin |
Batch No | The batch being moved, when required |
Serial Nos | The serial numbers being moved, one per line, when required |
Stock UOM fills automatically and cannot be changed on the movement row.
Add a separate row for each item, batch, serial group, source-to-target movement, or destination split. Every row uses the single Warehouse selected in the header.
If you use Source Reference DocType, complete Source Reference as well. Supported reference types are Item and Warehouse. These fields provide context only and do not replace the movement rows.
Changing Company or Warehouse after entering rows clears bin, batch, and serial selections. Set the header first to avoid rework.
Enter batch and serial-controlled stock
For a batch-controlled Item:
Select Batch No.
Enter Qty (Stock UOM).
Confirm the batch has enough balance in the Source Bin.
For a serial-controlled Item:
Enter each serial number on a separate line in Serial Nos.
Set Qty (Stock UOM) to the number of selected serial numbers.
Confirm every serial is currently in the Source Bin.
An Item that combines serial and batch control cannot use Bin Transfer. Additional active inventory dimensions are also unsupported.
Review and submit
Before submission, confirm:
Company and Warehouse are correct.
Posting Date and Posting Time match the physical movement.
Source Bin and Target Bin are different and belong to the selected Warehouse.
Each source and target is appropriate for the selected Movement Purpose.
The total quantity drawn from each source does not exceed what is available.
Batch and serial identities match the physical stock.
The rows describe the entire movement.
Save and submit the Bin Transfer. Submission is all-or-nothing. If one row fails validation, NexWave does not post any of the rows.
Confirm the completed transfer
After submission:
Confirm Status is Completed.
Under Connections, confirm Stock Movement contains one linked Stock Entry.
Open the Item dashboard or Bin Stock Balance.
Confirm the Source Bin quantity decreased.
Confirm the Target Bin quantity increased.
Confirm the overall Warehouse quantity in Stock Summary stayed the same.
Completed Bin Transfer with its linked Stock Movement
The linked Stock Entry is generated and protected by NexWave. Review it from Connections when needed, but make corrections or cancellations from the Bin Transfer.
Evacuate stock from a disabled bin
Use Evacuation only when stock remains in a disabled bin because of an exceptional earlier state:
Create a Bin Transfer for the affected Warehouse.
Set Movement Purpose to Evacuation.
Select the disabled bin with a positive balance as Source Bin.
Select an enabled Storage or Picking bin in the same Warehouse as Target Bin.
Complete and review every movement row.
Submit the Bin Transfer and confirm the balances.
Normal configuration prevents a bin from being disabled while it contains stock or open activity. Evacuation is not the usual way to empty an enabled bin.
To cancel an Evacuation, first re-enable the original Source Bin. The reversal cannot return stock to a disabled bin.
Cancel or correct a Bin Transfer
Cancel from the Bin Transfer, not from the generated Stock Entry:
Open the completed Bin Transfer.
Recheck the physical location and later stock activity.
Select Cancel.
Confirm Status becomes Cancelled.
Confirm the source and target balances were reversed.
Cancellation reverses every movement row and cancels the linked Stock Entry. It can be blocked when later stock activity depends on the transfer. Reverse later transactions in the correct sequence before retrying.
After cancellation, amend the Bin Transfer or create a new one with the correct rows. Do not edit, cancel, rename, or delete the generated Stock Entry directly.
Large transfers and background processing
Submission or cancellation runs in the background when the transfer expands to more than 100 stock-posting rows. Each serial number counts as one row for this check.
While background submission is running, the document remains Draft. During background cancellation, it remains Completed. Refresh the document after the job finishes.
If processing fails, the document keeps its previous status and NexWave adds an error comment. Correct the reported issue and retry.
Move stock to another warehouse
Bin Transfer is limited to one Warehouse. To change the warehouse balance:
Create a stock movement with Purpose set to Material Transfer.
Select the Source Warehouse and Target Warehouse.
Complete the required bin details for each bin-managed warehouse.
Review and submit the interwarehouse movement.
Do not use Bin Transfer for this job. It cannot move stock between warehouses.
Troubleshooting
Problem | What to check |
|---|---|
Move is not available | The row may be Unallocated, have no positive quantity, or be outside a supported bin type. Check Use Bins, Enable Bin Management, and your permissions. |
Stock is Unallocated, Receiving, or Inbound Staging | Use the appropriate Putaway action instead of ordinary Bin Transfer. |
A bin is not offered | Confirm it belongs to the selected Warehouse and is an enabled Storage or Picking bin. Evacuation has different source rules. |
Source Bin and Target Bin cannot be the same | Choose the bin that matches the actual destination. |
Quantity is unavailable at submission | Refresh the balance. Another movement or an open Pick List allocation may have reduced what is available. |
A batch is rejected | Confirm the batch is in the Source Bin and has enough available quantity. |
Serial quantity does not match | Enter each serial once and make Qty (Stock UOM) equal the number of serials. |
The Item uses both serial and batch control | This configuration is unsupported for Bin Transfer. Use an approved alternative. |
The destination is another Warehouse | Use Material Transfer instead. |
Submission or cancellation appears unchanged | A large transfer may be processing in the background. Refresh the document and check comments for an error. |
Cancellation is blocked | Check for later stock activity, permissions, and whether an Evacuation source must be re-enabled. |
The total Warehouse quantity is wrong | Bin Transfer only changes locations. Use the approved stock-count or stock-correction process for quantity differences. |
