Put Away Unallocated Bin Stock
Use this guide when received stock is in No Bin, Receiving, or Inbound Staging and must be placed into storage or picking bins. The Bin Putaway Worksheet can move several allocations in Desk or release one controlled putaway job to NexWave WMS for scanner confirmation.
Putaway changes the bin allocation only. It does not change the warehouse or the total stock quantity in that warehouse.
Before you start
Check that:
You have Stock User or Stock Manager access.
The warehouse has Enable Bin Management ticked.
The item has Use Bins ticked.
The target bin is enabled, belongs to the selected warehouse, and has the type Storage or Picking.
The stock is available in No Bin, Receiving, or Inbound Staging.
Bin codes match the physical location labels.
Enable WMS is ticked on the Warehouse if a worker will confirm the move on a scanner.
For scanner work, the worker can read the company, warehouse, item, bins, and batch. They also need permission to read, edit, and submit the Bin Putaway Worksheet, and to create and submit the linked Stock Entry.
Test scanner, label, network, and recovery behaviour before operational use.
Understand the inbound bin mode
The Inbound Bin Mode on the warehouse controls where received stock goes.
Mode | Result on receipt |
|---|---|
Direct Putaway | NexWave places stock directly into a Storage or Picking bin. |
Stage First | NexWave places stock into Receiving or Inbound Staging. Complete putaway after receipt. |
Flexible | You can use a final bin when it is known, or stage the stock for later putaway. |
If Require Bin on Receipt is not ticked, a user can select Receive to No Bin. Use the worksheet later to allocate this stock.
Choose how to complete the putaway
Need | Route |
|---|---|
Move one or many prepared rows from Desk | Submit the Bin Putaway Worksheet in Desk. |
Send one prepared row to a warehouse worker | Save the draft worksheet, then use WMS > Release to WMS. |
Let the worker choose the quantity and target bin on the scanner | Use Actions > Put away stock in NexWave WMS instead of preparing a worksheet. |
The worksheet WMS route supports one selected row per worksheet. Use separate worksheets when several scanner jobs need separate ownership, priorities, or deadlines.
Find stock that needs putaway
In the search bar, search for Bin Stock Balance.
Set Warehouse.
Set Item Code, Serial No, or Batch if you need to narrow the result.
Review stock with a blank Bin Code, or stock in a receiving or staging bin.
Select Putaway.
Bin Stock Balance filtered to unallocated stock
NexWave opens a new Bin Putaway Worksheet for the selected warehouse. You can also search for Bin Putaway Worksheet and create a new worksheet directly.
Load the worksheet
Set Company.
Set Warehouse.
Set Worksheet Type to Putaway.
Set Item Filter if you want to work with one item only.
Select Load Putaway Stock.
The worksheet loads eligible quantities from No Bin, Receiving, and Inbound Staging. If a large warehouse has many rows, use Item Filter to keep the worksheet focused.
Allocate stock to target bins
For each required row:
Tick Use.
Check Item Code, Source Bin, Source Bin Code, and Available.
Enter Qty.
Select Target Bin, then confirm Target Bin Code.
For controlled stock, check Batch No or Serial Nos.
A blank Source Bin and Source Bin Code mean that the quantity is in No Bin. You can split one available quantity across multiple target rows. The total quantity selected from a source cannot be more than Available.
Tick Use for each row that must move. The checkbox at the far left selects rows for table actions only; it does not include them in the stock movement.
Prepare many rows with CSV
Use the Download and Upload controls on Putaway Rows when a large allocation is easier to prepare in a spreadsheet.
Set Company, Warehouse, and Worksheet Type before you download the rows.
Download the CSV from Putaway Rows.
Enter Target Bin Code for each row. Enter Source Bin Code when the stock is in Receiving or Inbound Staging.
Leave Source Bin and Target Bin blank so NexWave resolves the codes inside the selected warehouse. For No Bin stock, leave both Source Bin and Source Bin Code blank.
Upload the CSV.
Review Use, Item Code, Qty, Stock UOM, Available, the resolved source and target bins, and any batch or serial identity.
NexWave rejects a bin code that is missing or not unique in the selected warehouse. It also sets Stock UOM from the Item, so do not use an alternate unit in the worksheet CSV.
Complete the movement in Desk
Review every row with Use ticked.
Confirm the source identity, quantity, target bin, Posting Date, and Posting Time.
Submit the worksheet.
NexWave creates one worksheet-owned Stock Entry for the same-warehouse movement.
Completed Bin Putaway Worksheet with two target bins
If the worksheet has more than 100 movement rows, NexWave queues the submission. Wait for processing to finish, then refresh the worksheet and confirm the result.
Send one putaway job to NexWave WMS
Use this route when a warehouse worker must check the physical source, item, batch, quantity, and destination before the movement posts.
The worksheet must have exactly one row with Use ticked. The selected row must:
Use a real Receiving or Inbound Staging source bin, not No Bin.
Use a different Storage or Picking target bin in the same warehouse.
Use an ordinary or batch-controlled item. Serial-number items are not supported by this WMS route.
Use the Item's Stock UOM.
To release the job:
Save the draft worksheet.
Select WMS > Release to WMS.
Set Available from if work must not start yet.
Set Due by if the task has a deadline.
Set Priority.
Select Release.
Use WMS > View WMS Task to check the released task.
The worksheet remains draft until the worker confirms the putaway. Scheduling does not change Posting Date or Posting Time. The final stock movement uses the confirmed scanner work.
Manage the released task
A Stock Manager can open the Warehouse Task and select WMS > Edit Schedule to change:
Priority
Available From
Due By
Assignee before work starts
Instructions
Leave Assignee blank to make the task available to any eligible warehouse worker. After work starts, use WMS Handover to change the operator. Check the physical work before a handover.
Use WMS > Withdraw WMS Task on the worksheet only when the task has not started. Record a reason and confirm that the physical work was checked. Do not delete or duplicate a task to recover uncertain physical work.
Complete the task on the scanner
The Tasks view shows putaway work in My tasks, Available, and Upcoming. This example shows an in-progress putaway task.
NexWave WMS Tasks view with an in-progress putaway job
Open NexWave WMS and select the warehouse.
Open Tasks.
Find an assigned job in My tasks, an unassigned job in Available, or later work in Upcoming. Wait until Available from before starting later work.
Open the task. Select Start putaway or Claim and start putaway for ready work, or Continue putaway to resume your own in-progress work.
Scan the source bin and item. Scan the batch when the item uses one.
Set Unit of measure, enter the full planned Quantity moved, and select Save quantity.
Scan the planned destination bin, then select Review transfer.
Check the source, destination, item, batch, and quantity. Select Confirm putaway only after the physical move.
If the physical quantity is short, select Report a problem and record what you found. A lower saved quantity blocks the task without posting stock. Ask a Stock Manager to check the goods before the task resumes.
If the released worksheet changes or source stock is no longer sufficient, NexWave rejects the task action. Refresh the worksheet and task, then ask a Stock Manager to review the physical position before continuing.
When the scanner is no longer in use, select the sign-out icon in the NexWave WMS header. NexWave asks for confirmation when unsaved work is present.
Confirm the result
After a Desk submission or scanner confirmation:
Status on the worksheet is Completed.
Connections shows the linked Stock Entry.
The WMS task is Completed when the scanner route was used.
Bin Stock Balance shows the quantity in the target bin.
The total quantity in the warehouse is unchanged.
Batch and serial identity is preserved where the selected route supports it.
Do not start a replacement movement if the scanner result is uncertain. Reopen the same task and select Check result first.
Correct a recorded bin allocation
Use Correct Bin Allocation only when the warehouse total is correct but the recorded bins are wrong. This action needs Stock Manager access.
Create a Bin Putaway Worksheet.
Set Worksheet Type to Correct Bin Allocation.
Enter a clear Reason.
Select Load Current Allocation.
Enter the required Desired Bin and Desired Qty values.
Confirm that the total desired quantity equals the current warehouse quantity.
Submit the worksheet.
Do not use this action to correct a stock quantity difference. Use the normal stocktake or stock adjustment process when the warehouse total is wrong.
Cancel and reverse a worksheet
Cancel the worksheet if you must reverse its completed movement. NexWave reverses the worksheet-owned stock movement when cancellation is allowed. Check Bin Stock Balance after cancellation to confirm that the original allocation is restored.
If a completed WMS task is later reversed through cancellation of its result document, review both the task and the physical stock before starting replacement work.
Choose the correct bin action
Situation | Use |
|---|---|
Stock is in No Bin, Receiving, or Inbound Staging | Bin Putaway Worksheet with Worksheet Type set to Putaway |
One prepared putaway row needs scanner confirmation | WMS > Release to WMS on the saved draft worksheet |
The worker must choose the target bin on the scanner | Actions > Put away stock in NexWave WMS |
Stock is already in a storage or picking bin and must move to another bin | |
The warehouse total is correct but the recorded bins are wrong | Bin Putaway Worksheet with Worksheet Type set to Correct Bin Allocation |
The stock quantity is wrong | Use the normal stocktake or stock adjustment process |
Stock must move to another warehouse | Use a Stock Entry with the correct source and target warehouses and bins |
Troubleshooting
Problem | What to check |
|---|---|
No rows load | Check that the warehouse uses bins, the item uses bins, and positive stock exists in No Bin, Receiving, or Inbound Staging. Remove Item Filter if it is too narrow. |
Target Bin is not available | Check that the bin is enabled, belongs to the selected warehouse, and has the type Storage or Picking. |
A CSV bin code is rejected | Check Warehouse, confirm the code matches the bin label, and make sure the code is unique in that warehouse. Leave the Link columns blank when importing by code. |
The requested quantity is rejected | Refresh the worksheet and make sure the total selected from the source does not exceed Available. |
A batch or serial is missing | Check that it is still available in the selected warehouse and source bin, then reload the worksheet. |
Release to WMS is not available | Save the draft, check that Worksheet Type is Putaway, confirm Enable WMS on the warehouse, and use a Stock Manager account. |
WMS rejects the prepared worksheet | Select exactly one row. Use a real inbound source bin, a different final target bin, and an ordinary or batch-controlled item. |
The task is not in Available | Check My tasks for assigned work, or Upcoming if Available from is in the future. Also check the selected warehouse and worker permissions. |
The task reports changed work | Stop the physical move. Refresh the worksheet and task, then compare the current stock and instructions. |
Submission is queued | Large worksheets run in the background. Wait for processing to finish, then refresh the worksheet. |
Correct Bin Allocation is rejected | Enter a Reason and make sure the total desired quantity equals the current warehouse quantity. This action also needs Stock Manager access. |
The warehouse total is wrong | Stop the worksheet. Use a stocktake or stock adjustment process to correct the quantity. |
