Sales Order Analysis

The Sales Order Analysis report is the open-order-book view sales managers and operations leads use to answer "what's in our sales order book, what's been delivered, what's been billed, and what's still pending?". One row per Sales Order with completion metrics, optionally rolled up by Customer, Sales Person, or Item.

Reading the numbers

  • High Pending Amount on old Sales Orders = stale order book. Flag those for revalidation with the customer; either deliver, close, or convert into the next quote.

  • Delivered Quantity > 0 with Billed Amount = 0 = invoicing backlog. Push to invoice these to recognise revenue.

  • Group By Sales Person highlights individual contribution to the order book vs. delivered revenue. Useful in commission discussions.

  • Low Delivered Quantity with high Pending Amount in a single line = production or procurement bottleneck on that SO; cross-reference with the Sales Order Production Status guide to see where the work is stuck.

Common pitfalls

  • "Pending" is calculated on quantities, not on monetary balance. Partial deliveries with mixed UoMs can mislead the eye. Trust the Pending Amount column for revenue, the Pending Quantity column for operations.

  • Closed and Cancelled orders are filtered out by default. Change the Sales Order Status filter to inspect them.

  • Group By Item appears to double-count customers. It doesn't, but the same item appearing across many orders inflates the customer count when read row-by-row. Use the column totals, not the row count.

  • Date filter is on Order Date, not Delivery Date. For "what's due to ship next month" use the Sales Order list view filtered on Delivery Date instead.

  • Drafts are excluded. Only submitted Sales Orders appear.
