Sales Order Production Status

The Sales Order Production Status report is a single-page view that ties every manufactured Sales Order line item to its downstream Production Plan and Work Order, and labels each row with a colour-coded pipeline stage. Use it to answer "where is the make-to-order stuff for our open Sales Orders right now?" without opening each Sales Order individually.

It is the cross-Sales-Order companion to the per-Sales-Order Job Card Overview on the Sales Order form, and the manufacturing-side complement to Sales Order Analysis (which is invoicing- and delivery-focused, not production-focused).

What the report shows

Each row in the report represents one Sales Order item that has a BOM paired with one of its Work Orders, or a single placeholder row if the SO item has no Work Order yet.

The report has 15 columns. They split into three logical groups:

Group

Columns

What they tell you

Sales Order side

Sales Order, Delivery Date, Customer, SO Status, Item, Qty, BOM

The customer-facing commitment: which line, on which order, due when, for which manufactured item.

Production Plan side

Production Plan, PP Status

Which submitted Production Plan covers this SO line, if any.

Work Order side

Work Order, WO Doc Status, WO Status, WO Qty, Produced Qty, Pipeline Stage

The factory-floor status: whether a Work Order has been raised, where it is in its lifecycle, and how much has actually been produced against it.

The rightmost column, Pipeline Stage, summarises the row into a single colour-coded label. Scroll the table horizontally if it does not fit on screen, or use the column resizer on the report header.

Pipeline stages

There are seven possible pipeline stages. Each one tells you exactly what the next action is for that SO line.

Stage

Colour

What it means

Typical next action

No Production Plan

Red

The SO item has a BOM but no Production Plan and no Work Order. Nothing has been planned yet.

Open the Sales Order, click Create > Production Plan, or include this SO in a multi-SO Production Plan run.

PP Created, No WO

Orange

A submitted Production Plan covers the SO item, but Work Orders have not been created from it yet.

Open the Production Plan and click Create Work Orders.

WO Draft

Orange

A Work Order has been created but not submitted, so production cannot start.

Open the Work Order and submit it.

WO Not Started

Yellow

The Work Order is submitted but no Job Card time has been logged and no material has been issued.

Allocate to a workstation and start the Job Card, or transfer materials to WIP.

WO In Process

Blue

The Work Order is partially complete: at least one Job Card has been worked on, or some quantity has been produced.

Continue producing. Watch for capacity blockers and material shortages.

WO Completed

Green

The Work Order is finished. Produced Qty equals (or exceeds) WO Qty.

Confirm the finished item is in the right warehouse and ready to deliver.

WO Stopped

Grey

A Work Order in this row has been deliberately stopped (for example, a customer-cancelled line).

Decide whether to resume, scrap, or split into a fresh Work Order.

The colour-coded pill makes it easy to scan a long list and pick out the rows that need attention today. Red and grey always demand a decision; blue is the in-flight bucket that the production team manages day-to-day.

Before you start

You will need:

  • A company with manufactured items being sold via Sales Orders. The report only includes SO line items that have a BOM set on the row. Service-only and trading-only lines are skipped.

  • One of these roles: Sales User, Sales Manager, Manufacturing User, or Manufacturing Manager.

Step 1: Open the report

In the awesomebar, search for Sales Order Production Status and open the report. You can also reach it under Manufacturing > Reports > Sales Order Production Status in the sidebar.

The report opens with Company preset to your default company. Until a company is selected the report will not run; this is enforced server-side.

Step 2: Set the filters

The report has six filters across the top.

Filter

Notes

Company

Required. The report is scoped to one company per run.

Delivery Date From / Delivery Date To

Optional date range on the Sales Order's Delivery Date. Leave blank to include all delivery dates. Set the To date alone to see everything due by a certain day; set both to focus on a specific week or month.

Customer

Optional. Limit the report to a single customer's open Sales Orders.

Sales Person

Optional. Filters Sales Orders whose Sales Team table includes this Sales Person. Useful when running the report by territory owner.

SO Status

Multi-select. Defaults to Draft, On Hold, To Deliver and Bill, To Bill, To Deliver, Closed. Untick Closed if you only care about live commitments; tick Completed if you also want already-shipped lines for auditing.

Pipeline Stage

Multi-select on the calculated pipeline stage. Use this to narrow the report to a specific concern (e.g. just the No Production Plan rows for the next planning meeting).

The most common production-team uses:

  • "What needs planning this week?": set Delivery Date To to the end of the week and Pipeline Stage to No Production Plan + PP Created, No WO.

  • "What is on the floor right now?": set Pipeline Stage to WO In Process + WO Not Started.

  • "What is at risk against a customer commitment?": set Delivery Date To to today + 5 days and look for any rows that are not WO Completed.

Step 3: Read the rows

The table is sorted by Delivery Date ascending, then Sales Order, then SO line order, then Work Order. Reading top to bottom mirrors the order things should ship in, so the rows that need urgent attention naturally float to the top of the list.

A few row patterns worth knowing:

  • Multiple rows for the same SO item. When a Sales Order line is split across more than one Work Order (for example, partial production runs, or a single SO consolidated through a multi-line Production Plan), the report emits one row per Work Order. The Sales Order, Delivery Date, Customer, SO Status, Item, Qty and BOM cells repeat across those rows.

  • Empty Work Order columns. If an SO item has no Work Order yet, the right side is blank and the row shows No Production Plan or PP Created, No WO in the Pipeline Stage. The Production Plan column, in this case, is the most recently submitted Production Plan that references this SO item, so you can pick up where you left off.

  • Empty Production Plan columns on a Work Order row. A Work Order created directly from a Sales Order (without going through a Production Plan) has no Production Plan link. The PP cells are blank by design; this is not a missing link.

Step 4: Drill down

Every link in the report opens the underlying record in a new context:

  • Sales Order: open the SO to see the full line, customer, payment terms, delivery dates and the Job Card Overview tab.

  • BOM: open the BOM to confirm components and operations.

  • Production Plan: open the PP to see all SO items it covers, sub-assembly plan, and the WO creation status.

  • Work Order: open the WO for Job Cards, material consumption, and the Required Items table.

Use this for triage: scan the report, click into any row that needs attention, take action on the underlying document, then return to the report and click the refresh icon.

Exporting

Use the report toolbar's Menu > Export (or the standard report tools menu) to export to Excel or CSV. The exported columns match what is on screen, including the resolved Pipeline Stage string for each row. The colour pill is not exported; only the text label is.

Roles and visibility

The report is visible to users with any of these roles:

  • Sales User

  • Sales Manager

  • Manufacturing User

  • Manufacturing Manager

Sales-side roles see the report by design: the same data is what an account manager needs when a customer asks "where is my order?".

Troubleshooting

Symptom

What to check

The report errors with "Please select a Company"

The Company filter is empty. The report will not run without one; pick a company and reload.

An SO item I expected is not in the report

The SO line has no BOM set, or the SO status is excluded by the SO Status filter, or the Delivery Date falls outside the date range, or the SO is in a different company.

Multiple rows for the same SO line

Expected when the SO item has more than one Work Order (consolidated PPs, partial production runs). The Sales Order/Item/Qty cells repeat; only the right-side WO cells differ.

The Production Plan column is blank for a row that has a Work Order

The Work Order was created directly from the SO without going through a Production Plan. The cell is intentionally blank, not missing data.

Pipeline Stage is a WO ... label I do not recognise

The Work Order has a status that does not map to one of the standard stages (rare; usually a custom WO status). The report falls back to WO <status> so the gap is visible rather than blank.

A row shows PP Created, No WO but the PP says "Closed"

A submitted Production Plan covers the SO item, but no Work Orders have been created from it yet. Open the PP and click Create Work Orders.
